12. EMPLOYEE ACCOUNTABILITY AND ENFORCEMENT

The Campus Agency enforces strict internal privacy and security policies. All employees are required to complete privacy and security training annually and comply with relevant data protection protocols. Any employee found to be in violation of these policies may face disciplinary action, up to and including termination of employment, depending on the severity of the infraction.

13. DATA INCIDENT RESPONSE

In the event of a data breach involving personal or confidential information, The Campus Agency will take immediate steps to contain the incident, assess the impact, and notify affected parties as required by applicable privacy laws and contractual agreements. If we process data on behalf of clients such as Microsoft, we will notify them without undue delay, and no later than required by contractual or legal obligations.

14. DATA RETENTION AND DESTRUCTION

We retain personal data only for as long as necessary to fulfill the purposes for which it was collected or as required by law or contract. Upon request or at the end of the service engagement, we will return or securely destroy any client-owned data in accordance with contractual requirements and industry best practices. When destruction is required, we ensure all data is rendered unrecoverable and maintain documentation of the process, including certificates of destruction when applicable.

15. EMPLOYEE TRAINING

All Campus Agency staff with access to personal or confidential information complete annual privacy and security training covering data handling, phishing prevention, password protocols, and incident response. Training content is regularly reviewed and updated to align with evolving security standards and regulatory requirements.
